Building a competitor email swipe file that's actually useful

Every marketer has a folder of competitor email screenshots somewhere. And almost none of them are organized in a way that's actually useful when planning time comes.

The problem isn't collecting emails — it's making them searchable, categorizable, and actionable when you need them.

Structure over volume

A good swipe file isn't about having the most emails — it's about having the right ones, organized the right way. Tag emails by campaign type (promo, launch, seasonal, content), by competitor, and by date.

When you can filter to "Show me all Black Friday emails from my top 5 competitors from the last two years," that's when a swipe file becomes a strategic asset.

What to capture beyond the email

Don't just save the email itself. Note the subject line, preheader text, send date and time, whether it contained a promotion, and what the core CTA was.

This metadata is what makes your swipe file searchable and useful. A screenshot without context is just a pretty picture.

From swipe file to strategy

Review your swipe file quarterly. Look for patterns across competitors. Are multiple brands shifting toward similar design styles? Is there a new subject line trend emerging?
